Administrative Assistant to CEO

Provides complete and professional, administrative and secretarial support to the Chief Executive Officer, Chief Information Officer, and Board of Directors. Acts as coordinator and recording secretary for Chief Executive Officer, Chief Operating Officer, and Board of Directors.

What You'll Do:

  • Attends all meetings as assigned and is responsible for the following:
  • Schedules meetings and takes minutes as needed.
  • Provides the agenda and meeting packet with the assistance of Senior Management.
  • Maintains all computer/hard copy files of minutes of meetings including records concerning their activities in accordance and other back-up as provided.
  • Ensures that all items tabled for committee meetings are followed through, to include correspondence forwarded from one committee to another committee on behalf of the committee chairman.
  • Provides all logistical support, refreshments as needed, etc. 
  • Maintains all files for Senior Managers as assigned.
  • Answers and screens Administration's telephone calls; takes messages as needed. 
  • Track all credit card expenses for Senior Managers' credit cards and submit signed receipts and statement on a monthly basis for timely payment.
  • Assign appropriate GL codes to invoices signed by Senior Managers.
  • Reviews Patient Concerns that come to the Administration office. Follows up on correspondence and ensures patient concerns are handled satisfactorily.
  • Is aware of the Sr. Managers and Board of Directors schedule of appointments and various meetings. 
  • Schedules daily, weekly and monthly meetings as needed.
  • Assists the Sr. Managers to ensure timely completion of projects and efficient management of their office and business.
  • Maintains computer and hard copy files of SMHD/ Mammoth Hospital contracts as needed.
  • Maintains the Administrator on call calendar.
  • Takes on short-term and long-term projects as needed by Senior Managers, i.e. Strategic Planning, Town Hall meetings, various projects, etc.
  • Maintains office supplies and clean & neat appearance of Senior Administration Building, Wellness Room and surrounding area (shared task).
  • Must be punctual, maintain regularly scheduled business hours, and maintain professional appearance and demeanor at all times.
  • Demonstrates the ability to organize, edit and prepare documents in final format.
  • Demonstrates knowledge of the functions and procedures of the hospital administrative office.
  • Demonstrates the ability to properly file and set up basic filing systems and references.
  • Demonstrates the ability to efficiently use the various software systems provided by the hospital.
  • Demonstrates the ability to operates all office equipment in a safe and efficient manner.
  • Demonstrates the ability follow Mammoth Hospital Policy and Procedure.
  • Demonstrates the ability to retrieve data from automated systems to produce reports.
  • Demonstrates the ability to answer phones, assess caller needs and take accurate messages as well as maintain good working relationships with diverse workforce, physicians and patients.
  • Demonstrates the ability to set-up, attend and wrap up administrative meetings, including preparation and minutes of the meeting.
  • Demonstrates the ability to correspond properly in all forms of communication.

What You'll Need:

  • High school diploma or equivalent required.
  • At least one year of healthcare administration preferred.
  • Experience working with Board of Directors strongly preferred.

Job Information:

  • Full-time, day shifts.
  • Starting wage $33.48 to $40.59 based on qualifications.
